Full Board PTO Meeting Minutes

Welcome and Introductions– Done

Treasurer Report- Presented by Shelagh Byrne in the absence of Annie Orr
•        Special Fleece order forms did not get out to homeroom students, guy we ordered from not very reliable- looking for someone else- Sara M. has a new vendor and will be in contact with April, plan to redo flyer and sell more cougar wear.
•        Discussed possible funding the IRL program
•        Discussed setting up a possible equity fund
•        Reviewed our current standings of the Profit and Loss, budget looks good. PTO agreed to the $200 allotment to 7th grade to assist with their lunar New Year project in February.
•        Discussed a cougar wear costume, money earned from GO Local money to go towards estimated $200 - $400, will have estimate by March meeting.

Administrative Report- Presented by Mary Margaret Sullivan
Discussed the changing of semesters in the next few weeks along with a new cougar success class being added to the curriculum for students in need of reading assistance- adding 4 tutors that will come in four days a week for four hours a day. Also mentioned that all positions have been filled with a new international eighth grade science teacher who is from Peru.
Thanksgiving Lunch was a success!

Chair Reports –
•        Hospitality.. Valentine candy to go into teacher boxes? Teacher appreciation week will take place May 7 thru the 11th.
•        Landscape Committee- Beautifications still in process, marquee needs new soil, six large pots have been purchased, looking at March to plant more. Will provide a wish list to Shelagh for assistance. PTO has a non-profit tax free ID number for Home Depot.
•        SPMT (School Planning and Management Team- Nancy Hutchins and Margaret Bruder)- Calendar of events for all city schools is in process, Asheville city schools foundation is organizing the calendar and all communications - looking to communicate thru electronic means. All flyers are in the office in the PTO folder. Also discussed 411 info, placing something on the school marquee advertising the AMS website.
•        Athletic Booster - PTO has assisted with concession stands and has raised $1000 to date.
•        Fund Raising - The banner for the stay at home has been ordered, should be up either Feb or March. GO Local cards Jan 12 is the last day to place an order - will send out a connect ed prior to Jan 12. Rummage sale Jan 21 will be accepting any and all items every Friday and Monday after school.
•        IRL - Will be inviting Kate to March meeting to discuss the future of the IRL program.
•        Culture Arts Chair?.. Discussed a possible culture arts program one per grade per year, possibly Drama team or Drama club with assistance from the community and or IRL

Asheville Middle School PTO meetings will be held on the 1st Wed. of every other month.
5:30 – 6:30/7:00pm.The dates are: March 7, 2012 and May 2, 2012. We may need to add a one final meeting at the end of May/beginning of June to approve incoming board members.

Full Board PTO Meeting Minutes

Treasurer  Report-  Presented by Shelagh Byrne in the absence of Annie Orr

  1. Special Fleece order for Christmas- black only
  2. Cheerleading has asked the PTO if they could possibly pre-order from the PTO- looking at sweats and hoodies
  3. Reviewed our current standings of the Profit and Loss, budget looks good. PTO agreed to provide up to $200.00 for the Thanksgiving lunch for families in need.

Administrative Report- Presented by Mary Margaret Sullivan
Discussed the kickoff of the new anti bullying program that will take place on November 7th at the Fall Fling. The fall fling will offer free games, sale of cougar wear, the 7th grade project- hungry planet where they will be selling their necklaces and bracelets and discussing the clean water and medical issues around the world. There will be a connect- ed on Friday, Saturday and Monday to encourage families to participate in this free event. Personnel issues were also discussed with the current needs as Tom Wilson is no longer here, Jan Thomas has moved to the NCY position and there is an opening for an 8th grade math teacher which are all hoped to be filled by Thanksgiving.
Thanksgiving Lunch- November 17th- Need to use the $65.00 and along with additional monies as there was a need of $200. Motion placed and all agreed.  PBIS will start Friday afternoon work detail from 3:30-5:30 for repeat offenders which will be a project to clean up the campus. Career Day was also mentioned as it has been a huge success in the past.

Chair Reports –

  1. Stay at Home Fundraiser (Lenoir Medlock)- Fall currently has made $3600 with possibly a few more checks to come in, also discussed doing more connect ad’s and possibly creating something a little more eye catching for the Spring stay at home fundraiser
  2. Landscape Committee- little things still taking place, there are no current flower pot fundraisers and if there is an interest will redirect to other things that need to still be done such as mulching the front area.
  3. SPMT (School Planning and Management Team- Nancy Hutchins and Margaret Bruder)- Pep Rally was a huge success, fantastic behavior, moved very quickly. Award Ceremonies to be held in January; letters to be sent out to parents as well as connect ads

  2. Concession Stands- Need Volunteers for home games- Shelagh and Sara will be in contact regarding possible assistance from the team’s parents and coaches.

Review of Last Year’s Success - Presented by Shelagh Byrne. Discussed Stay at Home Fundraisers, Restaurant Fundraisers & grounds improvement. 

Treasurer  Report -  Presented by Annie Orr - Treasurer

  • Past and present budget presented
  • 35 Teacher allocation checks distributed for 2011/2012
  • Budget lines reviewed, discussed and accepted
  • Suggestions- Buy Local Go Cards, Need Cougarwear forms to go out to the students, discussed Thanksgiving dinner- spend the $65.
  • Needs:  Increase funds through restaurant fundraisers, funds for Roar Bucks

Administrative Report - Presented by Mary Margaret Sullivan
Discussed a tentative open house for September 20, 2011 from 6-730pm, addressed the change of Parent conferences from October 7th and those will be held during the week of October 3rd through the 14th with October 6th being a late night due to the staff attending the OLWES training which is to introduce an anti bullying program.  Mrs. Sullivan also discussed the change of the PAWS logo to the ROAR logo which will hopefully help students relate better along with a Cougar Bucks reward system that they are hoping to work with the PTO in order to make it successful. The staff needs helping raising $1000 dollars for this program. She also stated that it has been a great start to the school year!!

Thanksgiving Lunch- Date TBA- Need to use the $65.00

Chair Reports:

  • Landscape Chair (Rebecca Tucker)- Aware of the plants that have died and those will be replaced. Discussed the grounds improvements.
  • IRL (Travis Herbert)- Smooth start to the 2nd year, 115 kids registered this semester to date. IRL needs help with parent/community with specific events for Dec & June- food, ambiance, performances, showcase- possible idea was to do a joint parent night along with the IRL showcase to introduce and get parent support.  IRL is also in need of parents reaching out to other parents and sharing their positive stories. Debate Team also starting as soon as possible on Monday’s as an IRL program.
  • Hospitality Chair (Mary Fierle & Gail Bellows)- is requesting email addresses and contact list for parents that would like to be involved.
  • Stay at Home Fundraiser (Lenoir Medlock)- Needs 775 copies of flyer which Mrs. Sullivan will take care of and those are to go out by midweek next week.

As of date still in need to several chair positions that include specific grade levels, booster chair, restaurant chair, Web Chair.

Upcoming Events:
Tentative Open House- September 20, 2011
Suggest: All staff to be introduced and school protocols will be presented along with tables set up for parents to stop by including IRL, PTO, Cougar Wear, ACSF

In the meantime Sara Monson has volunteered to contact a few of the restaurants to hopefully set up dates for September and October and will report back to Shelagh Byrne.
